What Windshield Time Really Costs a Growing Fence Shop

Windshield time math for fence shops: round trip, yard time and desk time per estimate

Every estimate you drive to costs money before you’ve sold one foot of fence. That’s windshield time.

Most small residential fence shops feel that cost in the gut — gas, hours, another evening at the kitchen table rebuilding a quote. Few of us put a number on it. Fewer still divide that number by how many bids actually sign.

This post is the napkin math. There’s also a short video that walks it live.

The four numbers behind windshield time

Grab a pen. Write these down with your numbers, not ours:

  1. Average round trip to an estimate (minutes or hours, door to door)
  2. Time in the yard — walk the line, talk gates, talk about the dog
  3. Desk time afterward — build the quote, send the PDF, chase the signature
  4. What an hour of your time is worth when you’re installing — not what you pay yourself; what that hour bills on a real job

Add fuel and truck wear at whatever mileage rate you already use for delivery.

Then:

  • Multiply by how many estimates you run in a week
  • Divide by how many actually sign

If you close one out of three, every signed job carried the cost of three trips. That’s the true cost of windshield time.

And it gets worse as you grow. In most solo-to-small-crew shops, the owner is still the one driving.

We walked the full example (clearly labeled as example numbers — plug in yours) in about three minutes on the FenceAI YouTube channel:

Calculating The True Cost Of Windshield Time For Growing Fence Companies

The point isn’t to guilt yourself into fewer bids. It’s to ask a sharper question: how many of those trips did you actually need?

Which trips you can skip

On a straight backyard run, the homeowner often doesn’t need you standing in the grass to get a real number.

With FenceAI.app, they open your quote from home — your website embed or a link you text them. They pick height and style (with style pictures so they’re not guessing), then trace the fence on a satellite map or type the linear feet. Walk or drive gates can sit on the same quote. Multiple runs can sit on one job when the yard has more than one side.

The total comes from your pricebook — your costs, your markup, your delivery miles. FenceAI.app doesn’t invent prices. It does the math the way you already bid.

Same link: they e-sign. Once you’ve connected your own Stripe, PayPal, or Square keys, they can pay the deposit on that link (written setup guides at fenceai.app/access/). You get an email alert when a lead or quote comes in. You stay on the tools.

Odd lots, steep yards, messy tear-outs — those can still get a look from you. Straight runs and simple replacements shouldn’t burn two hours of windshield and desk time just to bid.

Good / Better / Best options can sit on a quote if you use them. They’re not the lead. The lead is cutting trips you didn’t need.

What this is (and isn’t)

FenceAI.app is a quoting license for small residential fence shops — solo operators to small crews. Measure, pricebook, send, sign, deposit.

It is not a field-service suite. No dispatch. No crew GPS. No “run your whole company” CRM pipeline inside the product. If you need leads in your CRM, you export a file (CSV, HubSpot, Salesforce, or JSON) — handoff, not a live sync.
